All contracts must be in triplicate, one for the office, one copy for the in- stallation crews and shop, and one for the customer. If there are change orders and/or major modifications to the jobsite that are necessary prior to commencement of work, this must be noted on the Commercial sales coordinator pre-bid – post-bid procedures The commercial sales coordinator (if one exists in your company) will follow these procedures. If your com- pany is not large enough to support an organizational structure that includes a commercial sales coordinator, or if your company does not do enough commercial sales for this position to be justified, then the responsibilities herein would be shared by the in- house secretary or receptionist and the commercial sales staff. All commercial sales opportuni- ties are regulated and monitored by the commercial sales coordinator. Calls or e-mails are received daily by him or her and entered into the system in your software and a commercial sales esti- mator is assigned. Normally the sales estimator will schedule his or her own appointments from that point, but close contact is maintained at all times between all of the commercial estimators and the commercial sales coordinator. The commercial sales coordinator will be responsible to search out com- mercial sales opportunities, which will include: Bid Tool, Blue Book, Grade Beam, Crane Report, architect web sites (multiple), GC web sites (multi- ple), and Park District Report. The commercial sales estimator, in conjunction with the commercial sales coordinator, will compile a commer- cial bid project folder, including: • Completed bid contract, signed by the customer and with submittal ap- proval by the customer and the original bid docks. Any change orders that occur dur- ing the course of the job will be man- aged according to the commercial change order procedures. At that point, the job is turned over for scheduling. If the bid is over $20,000, the signed contract is evalu- ated by management and either ac- cepted or rejected. If accepted, proceed to the next step described below. If rejected, the sales personnel must rectify any error or oversight and after appropriate changes have been made, begin the entire process again. When the sales department has completed their checklist, the job order is then turned over to the office and the order entry department.
